Data controller: Mateusz Piotr Gierczak, trading as GMP Plumbing Services, sole trader in England. The owner-approved correspondence/service address must be included on formal quotations, invoices and booking documents before a customer contract is relied upon. Information collected

This may include your name, telephone number, email address, postcode, service address, property-access information, description of the plumbing issue, appointment details, quotations, invoices, payment records, complaints, and photographs or videos you choose to provide.

How the information is obtained

Information may be received through this website, WhatsApp, Facebook Messenger, telephone, email, in person, or from a person authorised to arrange work at the property.

Why the information is used

• To answer enquiries and decide whether the requested work is within the advertised service.
• To provide an estimate, order suitable parts, arrange access and manage an appointment.
• To perform the agreed service and communicate about changes, payment, follow-up work or complaints.
• To maintain tax, accounting, insurance, safety and legal records.
• To establish, exercise or defend legal claims where necessary.

Lawful reasons for processing

Information is normally used because it is necessary to take steps requested before entering a contract, to perform a contract, to meet legal obligations, or because GMP Plumbing Services has a legitimate business need to manage enquiries, records, safety, fraud prevention and legal claims. Marketing photographs are handled separately and are not published without permission.

Photos and videos sent for assessment

Photos and videos supplied for an enquiry are used to understand the fault, access, pipe route and likely materials. Sending them for assessment does not give permission to publish them.

Optional marketing permission

Photographs of completed work may be used on the website, Google Business Profile or social media only after separate permission. Giving permission is optional and does not affect the price or service. Names, exact addresses, house numbers, personal documents and other identifying details will not be intentionally published.

Who information may be shared with

Information is not sold. Where reasonably necessary, limited information may be handled through service providers used by the business, including WhatsApp and Meta services, Gmail or Google services, the business bank, FreeAgent or another accounting service, payment services, suppliers, an accountant, insurer, professional adviser, or public authority. Each external provider operates under its own terms and privacy information.

How long information is kept

• Enquiries that do not become jobs: normally up to 12 months after the last meaningful contact.
• Completed jobs: quotations, invoices, payments, relevant communications, complaints and necessary technical records may be kept for up to 6 years where needed for tax, insurance, warranty or legal purposes.
• Duplicate or unnecessary photographs and videos: may be deleted earlier.
• Marketing photographs: kept while permission remains valid and the material is still useful, unless retention is otherwise required.

Security

Reasonable measures are used to restrict access to business accounts and records. However, ordinary email, telephone and messaging services cannot be guaranteed to be completely secure. Customers should avoid sending unnecessary identity documents, bank-card details or unrelated sensitive information.

Your rights

Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, objection, or a copy in a portable format. You may withdraw optional marketing permission at any time for future use. Some information may still need to be retained for tax, legal, insurance or dispute purposes.

Complaints about personal information

Please contact GMP Plumbing Services first so the issue can be reviewed. You also have the right to complain to the Information Commissioner’s Office.
